[HollyMutual-Announce] Upcoming Shareholders Meeting

The date for the annual Holly Mutual Water Company Shareholders Meeting date is rapidly approaching (Monday, May 24, 2021 at 7:00 pm MDT). This will be a Zoom Meeting, which will require either a cell phone or computer to login; you should install the Zoom app and register beforehand. Zoom limits us to 40 minute meetings. I will email an 'invite' to everyone on the Holly Mutual mailing list at 6:55 pm to maximize our time, but that means we will need to finish by 7:35 pm. The invite will contain a web link to click for you to join the meeting, along with the Meeting ID and Passcode.

We will review the Holly Mutual financials and bring you up to date with the operational highlights of the past year. A very important part of this meeting will be the election of Board Members. We need at least two new members to volunteer to run for election, as there are vacancies on the board (total of five members). This is generally a small time commitment with shared responsibilities. If you are open to being nominated to run for any of these positions it would be helpful to notify us in advance so we can provide the slate of candidates to the mailing list in advance and save some time. Please email us your name(s) at <hollymutual at hollymutual.com> and we will be forever grateful.

Each property is entitled to one vote for for each of the board positions and any other matters that might arise. It is very important that you virtually attend this meeting or assign a proxy to stand in your place, as gaining a quorum has been tight in the past. If we don't achieve a quorum, we will have to repeat this exercise until we do. Please email us any proxy appointments prior to the meeting, also to <hollymutual at hollymutual.com>. You can appoint anyone who will be attending, including any of the current board members (Carol Breeze, Tom Chandler, Abbas Rajabi, Mark Derbyshire).

If there is unanimous consent during the meeting, we will elect the board members through that avenue. Otherwise you will need to send your votes during the meeting by email to <hollymutual at hollymutual.com>. If we follow this latter path I am suggesting that in the interest of efficiency and fairness that we employ a 'multi-winner ranked-choice vote', sometimes referred to as a 'single transferable vote' (geeks please see: https://en.wikipedia.org/wiki/Single_transferable_vote). We would need to first vote to ratify this process. Under this scheme you would list all of the candidates in your email in order of preference and the top vote receivers would be chosen. Hopefully in the case of any 'roll call' vote we will have sent everyone an email listing the candidates beforehand, so you can reply to this email during the meeting by listing the candidates for whom you are voting.

Finally for those who have never used Zoom before and would like to test your cell phone/laptop/desktop system in advance, please send an email to <hollymutual at hollymutual.com> and I will invite you to a 'dry run' Zoom meeting on Thursday, May 20, 2021 at 7:00 pm. Let me know by Thursday morning so I'm not rushing to make an invite list at the last moment.
